Your agency assumptions
Usage is an estimate of consumption-based services (messaging, phone, email, AI or other) where applicable — a user-supplied cost, not an automatic HighLevel usage rate. Exclude costs already modeled above.

Illustrative planning model — excludes customer acquisition, refunds, taxes and salary. Usage is modeled as an agency expense; do not double-count recovered charges in the package price. Plan prices are an October 2026 official pricing snapshot.
What these numbers actually mean
Subscription revenue is not the same as agency profit. A client may pay you every month, but delivering and supporting the service can also create recurring costs. This planner separates those assumptions so you can see which parts of the business model drive the result.
Monthly recurring revenue
Monthly recurring revenue is the amount billed to active clients under the selected package assumptions. It does not guarantee collection, retention or future renewals.
Variable delivery costs
Variable costs increase with the number of clients. Examples include support time, outsourced fulfillment, phone and messaging usage, and other per-client services. Enter your own estimates rather than relying on a universal industry benchmark.
Fixed platform and operating costs
The selected HighLevel subscription is modeled as a fixed monthly expense. Additional fixed agency costs must be entered separately. This model does not automatically include your salary, taxes or every cost of running a business.
Break-even
Break-even occurs when the modeled revenue covers the included monthly costs. A positive result does not prove that the business is sustainably profitable, because customer acquisition, refunds, taxes and other excluded costs may change the outcome.
What about usage rebilling and SaaS Mode?
HighLevel supports different agency plans, sub-account arrangements and usage rebilling options. The ability to pass through charges or apply markups is not identical across plans. This calculator treats usage as an agency expense unless you incorporate recovered charges into your client package pricing. It does not automatically calculate rebilling revenue.
- 1Platform subscription. The agency's base software plan.
- 2Usage charges. Consumption-based phone, email, AI and other supported services.
- 3Client billing. What the agency independently charges its customers for its package or services.
Watch for double counting
Do not count the same usage charge twice. If recovered usage revenue is already included in the monthly client package price, do not add it again elsewhere.
Is HighLevel the right platform for your model?
HighLevel may be relevant when an agency needs multiple client accounts, CRM pipelines, automations, communication tools and integrated service delivery. But the right choice depends on the services you actually sell, your support requirements and whether the available plan features match your business model.
Only a few clients and basic CRM use
Evaluate whether a smaller setup or a dedicated tool is sufficient.
Multiple client accounts and central operations
Compare the operational value of an agency-oriented platform against your current tools.
Subscription resale, automation and advanced billing requirements
Review plan eligibility and the operational cost of the full service package before purchasing.
