What CRM costs actually consist of
A CRM invoice has two halves. Recurring costs repeat every month: the plan or seats, add-ons, and usage such as SMS, calls or credits. One-time costs happen once: onboarding fees, migration of your old data, and the time it takes to configure the system. Comparing vendors by headline price alone ignores one of the two halves — which is why this calculator separates them and shows the split.
Per-seat vs flat-rate pricing
Per-seat CRMs scale with every user: ten seats at $25 is $250 before anything else. Flat-rate platforms charge one plan price regardless of users — but usually meter usage on top. The calculator handles both: on flat-rate, the seat price is ignored, and the base fee carries the plan.
Why the cheapest plan can be misleading
Entry plans are often missing the features that make the CRM worth buying — automations, reporting, integrations — and the relevant tier costs multiples. The pricing index records top-tier prices and caveats per vendor so you can model the tier you will actually need, not the one the ad shows.
First-year vs recurring cost
Year one is expensive: onboarding, migration and setup stack on top of the subscription. Year two and beyond are the recurring number. A three-year view stops a cheap first-year offer from hiding an expensive lifetime.
How annual billing changes cost
Many vendors offer a lower effective subscription price for annual commitments, but the discount varies by vendor and plan — use the actual published discount, or 0% when there is none. The slider applies to the subscription only: usage such as SMS, calls and credits is metered consumption and is not discounted, whether you commit annually or not. The trade for any commitment is flexibility, not just money.
How to compare unlike CRM categories
A field-service platform and a sales CRM can have similar customer records but solve different problems. Compare within categories first — the pricing index labels each vendor’s category for exactly this reason.
Methodology
The formula is fully transparent: base fee, seats and subscription add-ons form the subscription; usage is kept separate and is never discounted. The subscription is annualized and the annual discount applied to it alone; usage is annualized at full price; the two sum to the recurring year. One-time costs add to year one; three years equal year one plus two recurring years. Preset prices come from official vendor pricing pages with verification dates shown next to each preset. Promotional prices are not used as canonical list prices.
FAQ
Why is per-user cost N/A?
When the model is flat-rate, or when you entered zero users, a per-user figure would be meaningless.
Are the preset prices current?
Each preset shows its verification date and links to the official pricing page — check it before budgeting.
Does the calculator store my inputs?
No. Everything is calculated locally in your browser.
Can I model a quote-only vendor?
Not through a preset — but you can approximate their model manually once you have a written quote.
