CRM Pricing Index: What CRM Software Actually Costs
A structured dataset of thirteen CRM and field-service platforms with published pricing, built from each vendor’s official pricing page and re-verified on the dates shown. This is a pricing research asset — not a “best CRM” ranking and not an affiliate roundup. All links are official, non-affiliate pages.
Pricing changes frequently. The index records published pricing as of the verification date shown per vendor; current vendor pages remain the source of truth.

How to read the dataset
The 1/3/10-user columns are calculated only where the pricing model supports a defensible deterministic calculation (simple per-seat or flat plans). Where a vendor has seat minimums, contact-based tiers or quote-only pricing, the cell reads N/A rather than a fabricated number. Annual billing is used where it is the published default.
The dataset
The index intentionally includes several adjacent CRM models. Category matters: a field-service platform and a sales CRM can have similar customer records but solve very different operational problems — and an agency automation platform is a different purchase again. Compare within categories first.

What the data shows
- Per-seat CRMs scale linearly: ten users at $15–25 per seat is $150–250/month before any add-ons — and higher tiers multiply that fast.
- Flat-rate pricing can become increasingly competitive as team size grows — but the break-even point varies significantly by vendor, relevant plan and included functionality. From this dataset, HighLevel’s $97 flat rate breaks even above roughly six users against a $15/user CRM (Less Annoying CRM), around four users against a ≈$29/user field-service CRM (Jobber), and around two users against a ≈$49/user sales CRM (Close). And price parity is not product equivalence: a $97 automation platform and a $15/user sales CRM do not solve the same problem.
- Genuine free tiers are rare: HubSpot (2 users), Zoho and Freshsales (3 users) are the standouts; most others are trials.
- Usage layers are the silent second bill: SMS, calls and AI add-ons meter on top of platform subscriptions — the entry price is never the invoice.
- The cheapest entry plan is often not the relevant plan: Salesforce Starter and HubSpot Starter both hit real limits quickly; the tier most teams actually need costs multiples.
Methodology & limitations
Every entry links to the vendor’s official pricing page and carries a verification date. Where vendor pages are regional or quote-gated, that is stated in the caveat rather than estimated. Scenario costs assume annual billing where published. Pricing changes frequently — this index is corrected when official pages change, and each entry states when it was last checked.
